We are looking for a Contract Administration Manager to join our Legal Team in our Corporate Office in Campbell, CA!

Job Summary

To manage all aspects of contract administration, including proposal analysis, negotiation, and compliance. Provide guidance on complex contracts, ensure adherence to company policies and regulatory requirements, and collaborate with internal teams and subcontractors to resolve contract-related issues. Conduct regular contract reviews and audits, assess risks, and implement mitigation strategies while maintaining accurate contract documentation and databases to support efficient project delivery.

Essential Duties and Responsibilities

  • Understand and be proficient with all phases of proposals, negotiations, and administration of contracts in accordance with compliance policies.
  • In collaboration with Operations and Legal, enforce contractual terms with industry partners, including environmental, union, labor, and insurance compliance.
  • Maintain organized system of physical and digital records.
  • Collaborate with internal stakeholders across the different departments, including but not limited to Finance, Human Resources, Operations, and Marketing to manage contractual risk, address legal issues, and support strategic initiatives. Explain terms and conditions to managers and interested parties.
  • Manage and support the preparation, negotiation, and administration of contracts, amendments, and change orders.
  • In coordination with others, implement regular contract reviews and audits to ensure consistency, accuracy, and compliance with company policies and regulatory standards, and generate reports to assess risk and track compliance.
  • Collaborate with subcontractors to resolve contract-related issues and disputes efficiently.
  • Identify potential risks and analyze strategies to mitigate them when ensuring contract integrity.
  • Maintain up-to-date contract documentation and databases, ensuring easy accessibility and retrieval of information.

Qualifications

  • Education/Experience: Bachelor’s degree in a related field preferred but not required. Minimum of 6 years of experience. In-depth knowledge of contract law, negotiation techniques, and industry specific regulations. Familiar with trade organizations such as AIA, AGC, and ConsensusDocs, as well as government agencies such as DIR, CSLB, and Secretary of State.
  • Computer Skills: Proficient in MS Office applications. Competency to communicate about and implement custom IT solutions built by others. Experience with contract management and review software preferred.
  • Interpersonal Skills: Strong analytical, negotiation, and communication skills with the ability to build and maintain positive relationships with internal teams and outside clients and vendors
  • Mathematical and Financial Skills: Familiarity with business, finance, and accounting terminology. Ability to accurately verify calculations for contract sums.
  • Organization and Planning: Strong attention to detail and organizational skills with the ability to manage multiple tasks simultaneously.
  • Problem Solving: Ability to use a systematic approach to solve problems and evaluate alternative solutions.

Physical Requirements

  • Must be able to read, write, speak, and comprehend English.
  • Hearing adequate to perform job duties in person.
  • Able to communicate clearly in person and over the telephone.
  • Visual acuity adequate to perform job duties and respond to dangerous situations.
  • Frequent bending, reaching, standing, walking, squatting, sitting, pushing, and pulling.
  • Manual dexterity to operate a keyboard and other electronic devices. Repetitive motions that include the wrists, hands, and/or fingers.
  • Able to safely ascend or descend step ladders, stairs, ramps, etc.
  • Adjust or move objects up to 20 pounds in all directions without assistance.
  • May work in areas where hazardous substances are present.

Salary

  • $112,600/year – $168,800/year
